Terms and conditions
Version 2.0 · last updated 8 October 2026
These terms are the agreement between you and twirlr. Part A applies to everyone who uses the twirlr app, twirlr.app or the console. Part B is the platform agreement for associations that run on twirlr, and applies on top of Part A. Our Privacy notice, Community guidelines and Online safety page explain more and form part of these terms. For associations, the Data processing agreement also forms part of Part B.
If you are a consumer, nothing in these terms takes away your legal rights.
A1. Who we are
twirlr is run by RTA Twirling & Events Ltd, a company registered in England and Wales (number 17174281), 128 City Road, London EC1V 2NX. In these terms "twirlr", "we" and "us" mean that company. "Association" means a federation, association or club that runs its activities on twirlr. "Member" means a dancer, parent, guardian, troupe leader, judge or anyone else using twirlr as part of an association or on their own.
A2. Who can use twirlr
- Anyone can use twirlr, but children under 16 can only have an account once a parent or guardian approves it, and their posts go to that grown-up before anyone else sees them.
- If you set up or manage an account for a child, you confirm that you are their parent or guardian or have their parent’s permission, and you are responsible for how the account is used.
- You must be 18 or over to pay, to manage an association, or to act as a troupe leader on twirlr.
- Your association may have its own membership rules, which you agree with it.
A3. Your account
- Give true details, especially your date of birth: twirlr uses it to apply protections for children.
- Keep your email account safe, since our sign-in codes go there. Tell us at privacy@twirlr.app if someone else has used your account.
- One person, one account. Do not share it or pretend to be someone else.
A4. Your association, entries and payments
When you join an association, enter a competition, buy a ticket or pay an invoice on twirlr, your agreement for that is with the association, not with twirlr. The association sets its prices, rules, entry conditions and refund policy, and is responsible for its events. twirlr provides the software that lets it do this.
When a payment runs through twirlr, a twirlr service charge of £1 applies to each checkout (one checkout is £1, however many entries or tickets it contains), paid by the person paying. The association may also choose to pass on some or all of twirlr’s 5% platform fee to you. Any charge is shown clearly before you pay. Card payments are processed by Stripe on the association’s behalf; your card details go to Stripe, never to us.
Refunds are a matter for the association, under its own refund policy and your legal rights. How the twirlr service charge is treated when a payment is refunded will be set out before card payments through twirlr start. If you think a payment went wrong, contact the association first; we will help if we can.
Fees apply only when payments run through twirlr. Card payments through twirlr are not yet open to every association; until they are, no twirlr charge applies to those associations’ payments.
A5. What you post
- You keep ownership of the clips, photos, comments and other content you post.
- By posting, you give twirlr a non-exclusive, worldwide, royalty-free licence to store, copy, resize, convert and show your content to the people your settings allow, and to include it in feeds and notifications, for as long as it is on twirlr. The licence ends when you delete the content, apart from copies kept for a short time in backups, copies others have legitimately shared within twirlr, or where the law or a safety investigation needs us to keep it.
- Only post content you made or have permission to post. Do not post a child who is not yours or in your troupe, and ask before filming or posting anyone. Competition music belongs to its rights holders; clips with music are for showing inside twirlr only.
- Your association may also show clips and results from its events, under its own rules.
A6. Community rules and moderation
Follow the Community guidelines. Comments with links, contact details or certain words are held automatically and not shown. We or your association may remove content, or warn, pause or close an account, that breaks the guidelines, these terms or the law. A person makes every decision to remove content or restrict an account, and we will tell you why. If you think we got it wrong, email safety@twirlr.app and someone else will look at it again.
A7. Safeguarding
Keeping children safe comes first. Anyone can report a clip, comment or account. Reports about a child’s safety go to the association’s safeguarding officer and to twirlr. Where the law requires, or a child may be at risk, we share information with the police, the Internet Watch Foundation or other authorities. If a child is in immediate danger, call 999.
A8. twirlr’s intellectual property
twirlr’s software, design, name and logo belong to us or our licensors. You may use twirlr for its intended purpose, but you may not copy, sell, reverse engineer or scrape it, or use our name or logo without permission. Associations keep the rights in their own names, logos, rule books and content.
A9. twirlr Pro
twirlr Pro is a paid membership for dancers. It is not on sale yet. When it is, its own terms (twirlr.app/legal/pro) will apply. The app works fully without it.
A10. Availability
We work hard to keep twirlr running, especially on competition days, but we cannot promise it will always be available or free of faults. We may need to pause it for maintenance, updates or security, and we try to do this outside competition times. We may change or stop features, and will tell you in advance if a change takes away something important you use.
A11. Ending
You can stop using twirlr and delete your account at any time, in the app or at twirlr.app/delete-account. We may suspend or close an account that seriously or repeatedly breaks these terms, or where we must by law, and will tell you why unless the law or a child’s safety prevents it. What we keep after an account closes is set out in the Privacy notice.
A12. Our responsibility to you
- We provide twirlr with reasonable care and skill. If you are a consumer, you have legal rights in relation to digital content and services that are not as described, not fit for purpose or not of satisfactory quality; nothing in these terms affects them. Citizens Advice can tell you more.
- We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill. We are not responsible for loss that was not foreseeable, or for business losses if you use twirlr as a consumer.
- We do not exclude or limit our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else the law does not allow us to exclude.
- Associations, not twirlr, are responsible for their events, entries, results, prices and refunds.
- twirlr is free for members to use, apart from the charges in A4.
A13. Changes to these terms
We may change these terms, for example because the law changes or twirlr does. We will show the date of the latest version at the top. If a change materially affects you, we will tell you in the app or by email at least 30 days before it takes effect (or sooner if the law or safety requires). If you do not agree, you can stop using twirlr and delete your account.
A14. Law and disputes
These terms are governed by the law of England and Wales. If you are a consumer, you can bring proceedings in the courts of England and Wales, or of Scotland or Northern Ireland if you live there. Please contact us first so we can try to sort it out.
B1. Part B: the platform agreement for associations
Part B applies when an association signs up to twirlr or uses the console. The person who signs up confirms they are authorised to accept these terms for the association, and the association is the party to them. Part B and the Data processing agreement together are the platform agreement. Where they conflict on data protection, the Data processing agreement wins.
B2. The service
- twirlr gives associations the console (members, events, entries, results, communications and finance), the twirlr app for their members, and a web address on twirlr.app.
- The platform itself is free. There is no subscription to use it and every feature works without an add-on.
- Paid add-ons are optional: Branding (the association’s own look on emails and pages, and its own sending domain; without it everything carries twirlr branding) and Polly (the AI assistant, priced per plan of seats). Prices are shown in the console before you buy, including VAT. Add-ons are billed monthly or yearly in advance and can be cancelled at any time, taking effect at the end of the period paid for.
B3. Fees when money moves
- When the association takes a payment through twirlr (entries, tickets, invoices, memberships and similar), twirlr charges a platform fee of 5% of the payment. The association chooses who pays it: the association, the person paying, or split between them.
- In addition, a service charge of £1 per checkout (however many items it contains) is paid by the person paying.
- Fees are taken automatically at the time of payment, before the payment is passed to the association’s Stripe account. Card processing costs are covered by twirlr out of its fee.
- Fees apply only when payments run through twirlr. Card payments through twirlr are not yet open to new associations; we will tell an association before they start for it. Whether, and how much, twirlr charges on payments an association records itself (such as bank transfers) has not been set; we will give at least 30 days’ notice before any such fee.
- We may change fees with at least 30 days’ notice. Associations that twirlr has agreed in writing are exempt from fees are not charged them.
B4. Refunds and disputes
The association is the seller to its members. It sets and publishes its own refund policy, decides refunds, and handles complaints about its events. It is responsible for chargebacks and disputes on its payments, including any costs Stripe charges for them. How twirlr’s fee is treated when the association refunds a payment will be set out before card payments through twirlr start.
B5. Data protection
- For the personal information the association keeps about its members to run the association, the association is the controller and twirlr is its processor. The Data processing agreement (twirlr.app/legal/dpa) sets out both sides’ duties under Article 28 of the UK GDPR.
- The association is responsible for: having a lawful basis for what it collects; giving its members a privacy notice; collecting the consents it needs (for example for photography or medical notes); keeping DBS and safeguarding records lawfully, with the policy the law requires; keeping information accurate; choosing which of its staff can see what; and answering its members’ data requests, with our help.
- For twirlr accounts, the app, the feed and safety on twirlr, twirlr is the controller under its own Privacy notice.
B6. The association’s responsibilities
- Run its events, rules, results and prices, and comply with the law that applies to it, including consumer, tax and charity law.
- Name a safeguarding officer on twirlr and respond to safeguarding reports promptly.
- Check results before announcing them. twirlr calculates places from judges’ marks using the association’s rules, but the association decides when they are published.
- Keep console sign-ins secure, give staff only the access they need, and remove staff who leave.
- Only upload content and information it has the right to use.
B7. Acceptable use
The association must not use twirlr to:
- send spam, or marketing to people who have not agreed or opted out where the law requires it;
- collect information it does not need, or use members’ information for anything unrelated to the association;
- upload anything unlawful, harmful to children, or that infringes someone else’s rights;
- try to get round twirlr’s security or the walls between associations, or test them without our written permission;
- resell or white-label twirlr to others without our agreement.
B8. twirlr staff access
To support associations and keep twirlr running, a small number of twirlr staff can see association information and, when needed, sign in to an association’s console for a limited time. Each time is recorded in the association’s own log. twirlr staff are bound by confidentiality.
B9. Suspension and ending
- The association can stop using twirlr at any time by telling us. Paid add-ons end at the end of the period paid for.
- We may suspend or end the agreement if the association seriously breaks it (including the acceptable use rules or data protection duties), does not pay add-on fees after a reminder, or if we must by law. Where we can, we give notice and a chance to put things right first. We may act at once to protect children or other associations.
- When the agreement ends, the association can ask us within 30 days for a copy of its members’ information in a common format. We provide this through our team, as there is not yet a self-service export. After that we delete or return the association’s information as the Data processing agreement says, except what the law requires us to keep, and twirlr accounts that members hold in their own right, which stay with them.
B10. Liability between twirlr and associations
- Nothing limits liability for death or personal injury caused by negligence, for fraud, or for anything the law does not allow to be limited.
- Neither side is liable to the other for loss of profit, revenue, goodwill or data that it could have restored, or for indirect or consequential loss.
- Otherwise twirlr’s total liability to an association in any 12 months is limited to the greater of the fees and add-on charges the association paid twirlr in those 12 months and £1,000.
- twirlr provides the platform "as is" for associations, beyond the duties in this agreement and the Data processing agreement. Associations should keep their own copies of anything critical (for example results sheets on competition day).
B11. Indemnity
The association will cover twirlr’s reasonable losses and costs from a claim by a third party (including a member or a regulator) that arises from the association’s events, its breach of Part B or the Data processing agreement, the content it uploads, or its instructions to twirlr, except to the extent the claim was caused by twirlr.
B12. General
- This agreement is the whole agreement between twirlr and the association about twirlr.
- We may transfer it to another company that takes over twirlr (including a twirlr company formed to run the service), and will tell the association. The association may not transfer it without our agreement.
- Nobody else has rights under it, apart from members’ rights under data protection law.
- Changes: as in A13, with at least 30 days’ notice to the association’s admins for any material change.
- Governed by the law of England and Wales, and the courts of England and Wales decide disputes.
